Exports (SFA, LLWR, CTS)
The Funding Batch Export module makes this fundamental process incredibly swift and incredibly accurate.
Simply choose the time to collate the data and then generate the file for upload. For Welsh providers, the correct combination of files is generated for sending to the DFES. For English providers the module creates the required XML file format which means that it can be merged with other XML files using the LIS software available from the SFA.
Removes manual entry, saving hours of administration time and money
Requires very little training or prior knowledge of Maytas
Maximises data accuracy and erradicates funding errors
Save time and improve your data quality.
Simply filter by relevant centre, contractors and frameworks and the date range you wish to include in the file or choose to re-export only learners who have already been exported. The ACE Interface gives you the option to preview the file and export to CSV for upload.
The Screen Designer module allows you to add your own fields to the Maytas database and change the format and layout of existing screens, so you can work in the most efficient ways possible and have the data you need at your fingertips.
Add your own bespoke fields so you can report on and track your unique data
Simple drag-and-drop functionality makes it easy for those with permissions to create bespoke screens
Create efficiencies and improve data accuracy by designing screens to mirror your paperwork and processes
Brand your screens for consistency
The Process Designer module uses workflow technology to allow you to easily create your own data entry Wizards, to match or enhance your current administrative procedures.
Via a simple method of ‘drag and drop’, the module allows you to add your own groups of fields/controls to your processes, ensuring you capture your data in a certain order, such as personal information, contact details and programme details.
It also allows you to interact with email, mail merge, the reports library, etc., enabling you to map your complete business process into a Maytas process.
Users are then guided to perform various actions or activities in a structured and consistent order, such as planning visits, attaching assessors or employers and printing ILRs, even sending an email to the learner confirming their successful enrolment.

Run efficient processes
Streamline and improve controls over data entry
The import routine is quick and simple saving you significant time manipulating and reporting out on your data. Automating your imports increases savings on administration time when running regular imports and you can also create your own import routines, as and when you need them. The fields in the dataset you wish to import are mapped to the fields in Maytas and if any are missing, the field is created, ensuring accurate data across systems.
Save hours of administration time
View all your business data in one place
Remove duplicate entry and discrepancies between data held in different systems
Run reports in Maytas for data held in external systems
The Digital Signatures module allows you to completely digitise your processes, cutting the need for paperwork and reducing the time it takes to verify paper forms and claim funding. It also reduces risk associated with audit trails as well as removing the need for any digital pens and their associated costs.
Once signed, documents go back into Maytas (as well as the 3rd party trusted leader in digital signatures) where you can view all the signature requests and their status, run your own internal audit checks if required, access all the signed forms and view against individual learners.

Individuals can easily create and track their own KPIs encouraging responsibility for performance and giving them the tools to make better informed decisions.

Using the Report Generator module, reports can be written on any field in the database, even those that have been user-defined and sit outside of the standard table structure. If the data is in Maytas, you can report on it. It gives you immediate access to all of your data, providing you with the statistics, management information and business intelligence you require to conduct meaningful analysis.
Report Generator’s automation and scheduling facility saves time and ensures reporting consistency when distributing to stakeholders. This also helps you reduce the number of Maytas licences required as some people may only need to see the reports rather than have full access.

Course Booking and Resource Management
Getting the most out of your courses is simple, quick and easy to do with the course booking and resource management module. It shows you where conflicts could occur and highlights areas where resources could be better utilised to reduce resource wastage.
The module gives the staff in your organisation a shared view of what courses are being delivered when, where, by whom and with what resources. This visibility avoids duplication or ‘double booking’, saves staff time as the information they need is in one place, and ensures that rooms and courses are being maximised.
The module also allows you to work out the cost per learner when running a particular course and place costs against individuals or employers. The module removes the need for manual invoicing; its expert invoicing functionality means that you can generate an automatic invoice and send it to the customer, helping you to keep a tight grip on how much your courses are costing and ensuring you collect the right costs from your customers.
Generate higher course profitability
Highlight and reduce resource conflict
Maytas Financial Planning allows you to build a plan against a contract within your MIS and then model assumptions and ‘what if’ scenarios against the plan using live data, in order to reach contract allocations in the most efficient manner possible and to inform better business decisions.
The Financial Planning module in Maytas now enables you to build the financial plan relating to your allocation directly in Maytas, using its up-to-date, built-in funding formulas, vastly reducing the time taken to produce the initial plan.
It allows the modelling of SFA funding before and during contract commencement. Users can create a profile to measure performance against plan, providing reporting on whether or not the plan is likely to be met and any variances that exist. And because it is pulling in live data from Maytas, you can model ‘what if’ scenarios in moments to report upon how these may affect your overall funding. The ‘What if’ tools also enable you to accurately plan for business growth by understanding the implications of expansion into new sectors or increased number of starts in existing sectors.
Plan your current and future SFA contract provision with ultimate confidence
Reduce resource required to produce and maintain financial plans
Know exactly the value and breakdown of your actual provision, month-on-month
Plan to hit your allocation in the most efficient way possible
Model 'What if' scenarios to accurately inform business strategy
The Profiling module is a management tool that allows you to generate, compare and report on actual figures against budgeted figures for income, based on learner volumes, achievements or other outcomes.
After the initial budgeting profile figures have been entered, a measurement of performance can be taken at any time, giving you full visibility of your business profile and helping you to monitor the effects of changes to your budgeted figures.
For example, your budgeted figures have predicted 10 new learner starters but your organisation has actually taken on 20 new learner starters; the profile module will show you how this shift will affect your funding profile.
A number of reports are available, to provide a useful overview of the budget vs. actual volumes and values, as well as drill-downs detailing the contents of the summary figures. Using the Report Generator module, you are also able to report on the data generated by the profiling module, with no restrictions on the number of profiles that can be created.
Measure your organisation’s actual performance against budgeted performance for funded contracts for a live view on performance
Reduce risk by basing business decisions on accurate information at a glance
Take control of your contract by setting up profiles based on what you need to see
Provide your staff with the budgets and actuals relevant to their role
Allowances and Payments
The module stores a your learners’ bank details and their required payment method, e.g. cash, BACS,etc. and enables you to apply maximum allowances to a learner’s records, e.g. £20 travel for five days attendance.
By recording learners’ attendance and non-attendance, a procedure is run within Maytas to calculate the actual required payments to a learner.
Employer contributions and/or learner contributions can also be recorded within the module.
Payments to learners can be viewed on screen and, if necessary, manual adjustments can be made. Payslips are then generated and can be printed.
Never pay a learner an incorrect amount again
Align the payroll/accounts department and MIS department
It provides you with a central database of information across sites so you can better share the information about your pipeline and maintain a consistent approach to recruiting learners. The enhanced mail-merge feature automatically attaches communications sent to contacts; ready-to-use templates further save time and effort whilst ensuring brand consistency throughout your users.
Out of the box reporting simplifies the reporting and analysis of results so reports, such as targets achieved over a given timeline, are displayed via a user-friendly, visual interface for a top level summary. And with a single click, you can drill down into the smallest detail, such as targets by qualification, age, geographic areas, etc. Individuals and managers get a customisable, live view of performance against individual or team targets. The Manager log-in area provides managers with additional levels of detail enabling them to assess the current and ‘real’ pipeline situation.

With the Vacancy Management module you can add vacancies in Maytas and then track from application to the applicant getting the position, with all the data recorded in the one system.
It allows you to set multiple vacancies to multiple applicants. Vacancies are given attributes and the attributes are matched against the suitability of the learner, saving you time, money and administration effort.
Customisable attributes and search criteria
Log the application process from start to finish
Get more people into suitable roles
Incentivise learners into training with your organisation over that of a competitor
The online applications module is a web-based portal that sits within Maytas and allows prospective learners to register themselves onto a programme or apprenticeship via a provider's website.
The tool which can be fully branded to reflect your company brand and website, also gives you the ability to monitor and report on the number of applicants per course, helping you to manage your business reporting and see where further promotion needs to be done.
The flexible module shows you, at a glance, how many units have been completed, a prediction of where funding may run out and where your learners may fall behind. This gives you the opportunity to take additional steps to ensure that any learners that are not on target to achieve their goal are given the support needed to get back on track.
Use the information to produce monitoring reports on overall qualifications. The module also provides you with an easy to analyse list of units and, using the core reports library, view the units completed. At a glance views give red and green visual flags to highlight learners that have completed units, outcomes or qualifications, and importantly, those that have not.
Record additional events, such as tests and exemptions, against a particular qualification unit, and upload electronic certificates and notes to qualifications at all levels.
Combine with the Report Generator module to produce bespoke reports that identify anyone who has a target date in the past, report on cohorts or groups of learners’ and monitor a group’s overall progress.
